Privacy Policy
What we collect, why we collect it, and what you can ask us to do about it.

Who we are
This website, southerncgs.com, is run by Southern Central Gas Supplies Ltd ("Southern CGS", "we", "us"). We are registered in England and Wales, company number 16101103, and our registered office is Charlen House, Reading Road, Burghfield, Reading, RG30 3RF.
We decide how and why the personal information described on this page is used, which makes us the "data controller" under UK data protection law. If you have any question about it, email Sales@SouthernCGS.com or call 0330 179 6399.
What we collect, and why
When you send us an enquiry
The contact form asks for your name, email address and message. It also has optional fields for your phone number, company name and the subject of your enquiry. We use these to reply to you and to quote for or supply the equipment you ask about. Our legal basis is that we need to do this to respond to your request, or to take steps at your request before a sale. Where you are contacting us on behalf of a business, it is also in our legitimate interests to answer business enquiries.
The form is delivered by a service called Formspree, which passes your message to our sales inbox and keeps a copy of it. Enquiries that reach us by email or phone are handled in the same way.
When you subscribe to our newsletter
The sign-up box in our footer asks for your email address only. We will use it to send you news about Southern CGS and our products. We do this only because you asked us to, which is your consent, and you can withdraw that consent at any time. Every newsletter will include an unsubscribe link, or you can email us and we will remove you.
We have not yet sent a newsletter. When we do, we will use an email service to send it, and we will list it under "Who we share your information with" below.
When you leave us feedback
If you choose a low rating on our review page, we offer a private feedback form asking for your name (optional), email address (optional), your message and the star rating you gave. We use it to put things right and to improve our service. It is delivered by Formspree in the same way as an enquiry.
When you book a call
Our contact page lets you book a 30-minute call through Calendly. Calendly collects your name, email address and anything you write in the booking form, and shows us the result. Calendly's own privacy policy explains what it does with that information.
How people use the website
We use two tools to understand how the site is used and to make it better. Both use cookies or similar technology, and neither is used to identify you by name.
- Google Analytics counts visits and shows us which pages are read, roughly where visitors are and what device they use.
- Microsoft Clarity records how visitors move around a page, such as clicks, scrolling and taps, and can replay a session as an anonymised recording. Clarity masks what you type into forms.
Our legitimate interest is running and improving our website. To stop this, you can block or delete cookies in your browser settings, or install Google's Analytics opt-out add-on. The site will still work.
Other things your browser loads
The contact page shows a Google Map, and some product images are stored with Google. Loading either means your browser connects to Google, which can see your IP address and details about your device. The website is hosted by Netlify, which keeps standard server logs.
Who we share your information with
We do not sell your information. We use a small number of trusted services to run the website and our business, and they handle your information only for that purpose:
- Formspree, which delivers the contact, newsletter and feedback forms
- Calendly, which handles call bookings
- Google (Analytics and Maps) and Microsoft (Clarity), described above
- Netlify, which hosts the website
- Our email and customer records system, where we keep the details of enquiries and customers
Within Southern CGS, enquiries are seen by the director and one part-time member of our accounts team. Some of these services are based outside the UK, mainly in the United States. Where that happens, your information is protected by the safeguards UK law requires, such as approved standard contract terms.
How long we keep it
We keep enquiry emails, and the customer details we record from them, for as long as we need them to deal with your enquiry and to keep proper business records. We do not currently delete them on a fixed schedule. If you ask us to remove yours, see your rights below. Newsletter addresses are kept until you unsubscribe. Analytics data is kept by Google and Microsoft under their own retention settings.
Your rights
You can ask us to:
- tell you what personal information we hold about you and give you a copy
- correct anything that is wrong
- delete your information, where we have no good reason to keep it
- stop using your information for a purpose you object to, including marketing
- withdraw your consent, for example to the newsletter, at any time
To do any of these, email Sales@SouthernCGS.com. We will reply within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
If we change how we use your information, we will update this page and the date at the top.
